Minutes of last meeting: Donna Carson
Donna read and submitted the March 26, 2024 minutes for approval; Calvin Keary approved. Motion carried.

Old Business Items:
AGM Report – Held Saturday April 27 & April 28, 2024 in Moncton
Kendall McLean gave a verbal report & Glenn Martin submitted a written report.

Re-visit Woodstock Street access – Dwayne reported that this is on hold until we find out if the Town has any interest in re-visiting this project. Dwayne will reach out directly to the Mayor.

Marketing plan with River Valley Sun – 2024 program has been launched.

Member Email Distribution – Dwayne has been working on a potential list. Out of 142 trail passes only 60 emails were provided. Will encourage vendors to check with email addresses. There is a possibility of doing a pilot out to the 60 email addresses to see what response we get from those members.

2024 Election of 3 Directors: Don Calhoun, John Carson, Scott Edwards. Linda suggested we spread out the length of terms for Directors. This will be discussed at the annual by-law review.

2024 Fall Rally – after much discussion, the date was set for October 5th established

Treasurer Report: Wade McLellan, Treasurer
Financial Report – Wade submitted and Larry seconded for approval of both the Chequing and Savings report. Motion Carried.

John Carson made a motion and seconded by Glenn Martin, to make a donation towards Leigh and Irene Williams expenses while in Toronto for the next few months due to medical treatments.
Motion carried.

Trail Permit Sale Report: Linda McHatten, Vendor Co-ordinator
Linda reported on the status of trail permit sales sold during this month. Year-to-date 2024 trail passes sold is 175. It was confirmed that we need to make sure we have trail passes at each meeting for new members. Also noted is that our club stickers are not distributed at our vendors as recurring members would not need one each year. They will be available at our rallies and by our members.

Linda reported that we continue to grow with currently 1239 followers.

Trail Report: Brian McHatten, Trail Coordinator

Brain reported that the trails are all green for the season.
Trail #5000 – Pembroke – cleared and resigned and Vance notified to turn green.
Trail # 5001 – downed trees and overhangs cleared. Installed missing signs and posts replaced
Route 560 – ‘No Parking Sign’ placed at the old fertilizer plant Woodstock &
DTI application has been sent in for new culvert, waiting for response.
Talk to Sheldon to repair section between Lindsay and 560 the Cordorey Road. It was heaved due to frost and will spread gravel. He will try and do this a.s.a.p., hopefully with next two weeks. Vance has been notified to turn green.
Trail #23 Woodstock to Canterbury – Have been talking to Vance on the Meduxnekeag Bridge as it is on the list to be repaired this year with no date at present.
Trail #25 Between Hodgen Road and First Nations – construction is taking place and as of now I have no more information. Vance will get back to us when he has more detail. It is being closed due to the running of sewer lines to the Reserve.

Brian discussed the need to set up a trail maintenance budget so he has the autonomy to address trail repairs more readily. Brian made a motion, seconded by John Carson to provide a $20K budget for trail maintenance. Motion carried.

Vance discussed the closure of the Meduxnekeag Bridge due to major repairs. This is a major project and discussion was had on what an alternative route may be.

Ralph McBride discussed the opportunity for our club to cost share the maintenance or development of shared trails. Once example was the work that needs to be done on the Woodstock side of Hodgon Road. Ralph made a motion and seconded by Glenn Martin to set a budget of $2,400 for this project. Motion carried.

June 15th Annual Rally

Discussion was had as to who our club will support this year. Scott Edwards made a motion and seconded by Brian McHatten that we will once again support the local Food Bank as their need continues to grow.

Sponsors – have been determined

Raffle Tickets – still need volunteers to cover the Saturday, June 1st; shift at Sobey’s. Raffle tickets were signed out by members with the intent all tickets sold will be passed in at the May meeting. .

Participant Prize List: Members are continuing to secure prizes for the rally. Work in progress.

A request from the Debec Rec Council was submitted asking for our club to become a sponsor for the Council. Ralph McBride made motion and seconded by Larry Dryer to become a 2-year sponsor in. Motion carried.

New Business: Dwayne Atherton, President
Dwayne advised that he has been working with Ken Legge regarding holding safety courses in our region, tentatively June 29th or August 10. Stay tuned.

Regional meeting taking place at the Masonic Hall on May 15th at 7:00pm. Several members from our club will be attending.
